YOUR POSITION WITH TNC

  • The Talent Acquisition Specialist provides human resource support services in talent acquisition and employee capacity building.
  • The position will work closely with the Africa HR team to support talent acquisition, onboarding of staff, and capacity development.
  • Reporting to the People Learning and Development Manager – Africa region and will be based at any of the TNC office locations in the Africa region. in Africa.
  • No employment visas or assistance is being offered with this position except for the local labor employment requirements.
  • This is an initial 18 months term-limited position with a possible extension of tenure subject to work requirements and availability of funds.

ESSENTIAL FUNCTIONS

The Talent Acquisition Specialist is responsible for administering and maintaining HR systems, programs, procedures, and plans according to HR policies and will provide assistance to all levels of personnel on HR-related issues and requests within the TNC Africa Business Unit.

  • This position provides support to the People Learning and Development manager and maintains a high degree of confidentiality and a strong customer service focus.
  • Using their specialized knowledge, the Talent Acquisition Specialist will deal with customers with a high level of maturity, tact, and diplomacy.
  • Their key role is to oversee our full-cycle recruiting processes and reinforce Africa Business Unit’s policy on talent acquisition, assessment, and interviewing, which includes employee planning and sourcing processes, serve as the BU focal person on recruitments, onboarding, and contracting.
  • The Talent Acquisition Specialist will provide support to the overall hiring strategy of the Business Unit to ensure our teams consist of a diverse set of qualified individuals.
  • The role must provide excellent customer service, demonstrate initiative, take ownership of responsibilities, and complete projects with positive results.
  • The role will work closely with the worldwide Office talent acquisition team, training, and development.

RESPONSIBILITIES AND SCOPE

  • Responds to moderately complex employee/management questions and problems based on advanced knowledge of aspects applicable to the subject area.
  • Plan and implement Africa Business Unit talent acquisition based on annual Strategy plans
  • Coordinate analysis of organizational skills development and anticipate future employment needs
  • Coordinate with budget managers to track upcoming hires and develop a tracker for implementation.
  • Provide support for Job description development and reviews and alignment
  • Recruitment administrator for Job description development, posting, advertisements, interview schedules and reporting, reference checks, documentation, hiring & on-boarding, tracking recruitment and validation of hire information
  • Create and implement end-to-end candidate hiring processes to ensure a positive experience
  • Coordinate and manage recruitment and selection processes and induct hiring managers on interviewing process
  • Reviews employment application and background check reports to provide recruitment reports
  • Manage Peoplesoft candidate pools to ensure qualified candidates remain engaged in current or future opportunities.
  • Responsible for new hire on-boarding, PeopleSoft system set up and documentation.
  • Conduct bi-monthly meetings with new hires to enhance on-boarding support and provide feedback to supervisors and People Learning and Development Manager for support
  • Lead the review of onboarding process, assessment and documentation of outcomes to advice staff development initiatives.
  • Generate monthly recruitment analysis and metrics reports as learning outcomes.
  • Routinely perform recruitment audits to identify areas for improvement.
  • Support development and review of local country labour laws.
  • Updates job knowledge by participating in conferences and educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
  • Enhances department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
  • Perform all other human resources and administrative tasks deemed necessary for the smooth running of the human resources office.

REQUIREMENTS

MINIMUM QUALIFICATIONS

  • Bachelor’s degree or a minimum of 5 years related work experience in area(s) of specialization or equivalent combination.
  • Human Resource certified professional.
  • Experience coordinating and leading HR projects.
  • Experience responding to HR related questions and problems from employees/management.
  • Experience in one or more of the following areas: database management and spreadsheet software; constructing and producing reports; data input, manipulation, and analysis.
  • Experience working with MS Office software, including Word, Excel, Access and PowerPoint.

DESIRED QUALIFICATIONS

  • 5-10 years’ experience leading talent acquisition in Africa.
  • Multi-lingual skills and multi-cultural or cross-cultural experience appreciated.
  • Member of Human Resource Management body.
  • Advanced understanding of Human Resource practice
  • Experience working with Human Resources Management Systems e.g. Peoplesoft.
  • Familiarity with social media, C.V. databases, and professional networks
  • Experience with full-cycle recruiting, using various interview techniques and evaluation methods
  • Knowledge of Applicant Tracking Systems
  • Experience in using LinkedIn Talent Solutions to proactively source candidates
  • A keen understanding of the requirements for each role in the organization

YOUR POSITION WITH TNC

The Contract Specialist will work as part of a larger operations team, serving as focal person to provide overall contract review, guidance, and training alongside the legal team to operations and program managers in preparation for contracts in the region.

  • The Contract Specialist is responsible for executing the BUs contracts compliance including their approvals.
  • This position will report to Operations Manager, Africa region and the location for this position is flexible between Tanzania, Kenya, South Africa, Zambia or Gabon.

ESSENTIAL FUNCTIONS

  • The Contracts Specialist will support the strategic priorities of the Africa region through efficient oversight of Africa Region contracts, while providing excellent customer services to project managers.
  • They are responsible for supporting staff from every phase of contract development from researching the legal regulations to negotiating the terms and preparing the final print document.
  • They collaborate with Legal team to support staff to terminate contracts on favorable terms. They will provide guidance related to administrative contractual requirements based on extensive knowledge of policies and procedures to staff across Africa region.
  • They are responsible for implementation of the contractual processes and practices in order to improve effectiveness and disseminate information to assist staff in making decisions, solving problems, and improving workflow.

RESPONSIBILITIES AND SCOPE

  • Develop and implement new initiatives that will ensure Africa region contractual goals and strategies are achieved.
  • Prepare contractual agreements using current research methods and knowledge of a client’s (program or departmental) needs and ability to fulfill its requirements
  • Ensure programmatic commitments, Conservancy policies and procedures, GAAP, and legal requirements are met and managed for compliance. Decisions may bind the organization financially or legally
  • Collaborate with Grants Specialists on managing public awards and with the region’s legal representatives on matters of heightened complexity or risk
  • Ensure contracted vendors obtain and possess required insurance coverage and that appropriate documentation is obtained and maintained
  • Review contract terms and conditions to verify that they are in compliance with TNC policies and all applicable regulations
  • Maintain contract tracker, to ensure all contracts are up to date and alert program managers on expiry dates, so that amendments can be done in a timely manner
  • Collaborate with the legal team to maintain contract templates, guidance and training materials and ensure effective distribution thereof to regional staff
  • Clearly explain contract terminology to TNC staff and other interested parties in simple language
  • Self-monitor progress according to the schedule of completion to submit drafts and documents in a timely manner
  • Proofread, edit, and fact-check legal documents for accuracy and consistency, according to a style guide if provided by the client
  • Maintain confidentiality of sensitive information.
  • Manage and/or review contractor’s invoice and deliverables before processing.
  • Ensure compliance with Conservancy policies and procedures, and external (donor/legal/IRS) requirements
  • Financial responsibility includes assisting with purchasing, processing invoices, contracting with vendors, and assisting with budget preparation
  • May act as a resource to others to solve problems relating to Contracts.
  • Travel and work flexible hours as needed

REQUIREMENTS

MINIMUM QUALIFICATIONS

  • Bachelor’s degree and 5 years related experience or equivalent combination;
  • Finance, Operations or related field experience;
  • Experience managing and implementing multiple projects;
  • Experience drafting and negotiating agreements and managing contract workflow and process;
  • Experience working with widely dispersed cross-functional teams.
  • Demonstrated experience handling confidential information;

DESIRED QUALIFICATIONS

  • Multi-lingual skills (French, Portuguese and/or Kiswahili preferred) and multi-cultural or cross-cultural experiences are appreciated;
