1. Job Title: Project Administrative Assistant
Duties and responsibilities
- Administrative support to Africa based CGIAR EiB/ABI-BR Initiatives staff and projects.
- Coordinate all communications with members of the organization, external stakeholders and meeting follow-ups.
- Managing the CGIAR EiB/ABI/BR infrastructure, including procurement of supplies.
- File correspondence inserts data and maintains records as instructed by senior staff members.
- Organize and lead all logistics and travels related to meetings/trainings/workshops including visa applications (applications, invitation letters etc.) and accommodation.
- Preparing for EiB/ABI/BR meetings at regional locations with local CGIAR partners and doing basic budgeting
- Responsible for coordinating Sabbaticals (staff exchanges) and updating/uploading information to the Learning Management System (LMS).
- Making payments and keeping simple account of payments/reimbursements.
- Monitor and review expenses and make sure that they are charged to the correct ICCs.
- Capture and review of collaborators’ expenses.
- Liaise with Corporate team in the hiring process of staff and consultants and onboarding.
- Support the CteH digitization and mechanization projects in Africa.
Requirements
- Bachelor’s degree in Business administration or diploma professional qualification requiring 2 or more years’ study
- Knowledge of administrative and/or operating protocols and procedures of research support function.
- Basic Supervisory skills and experience.
